Terms and Conditions of Service

1. Introduction

These Terms and Conditions govern your use of services from Reformer LDN Limited. We are located at Unit 1.2 Rosewood Building, Shoreditch Exchange, Gorsuch Place, London, E2 8HU. By booking and participating in our classes, sessions, or any other services, you agree to comply with these Terms and Conditions.

2. Booking and Payment

2.1 Booking Procedures

All classes and sessions must be booked in advance. Use our online booking system. Bookings depend on availability. They are confirmed once payment is received.

2.2 Payment Methods

Pay online via our booking system. Use credit or debit cards.

2.3 Packages and Memberships

We offer various class packages and membership options. They fit different schedules and preferences. Terms for these options include:

Class Packages

  • Valid for a specific duration from purchase date. Validity details are provided at purchase.

  • Non transferable. Only the purchaser may use credits. Exceptions may apply if explicitly stated.

  • Refunds are not permitted. This excludes exceptional circumstances. Medical conditions with valid documentation are an example.

  • Extensions may be granted for unused credits. This is due to unforeseen circumstances. It is at our discretion. A fee may apply.

Memberships

  • All memberships require a minimum commitment of 2 months.

  • Memberships automatically renew. Cancel in the momence app and with written notice at least 3 days before the next billing date.

  • Members may pause or freeze their membership. This follows our Pausing a Membership guidelines.

  • Memberships are non transferable. They are non refundable.

  • Purchase additional classes beyond the monthly quota. The rate is the same as the membership price per session.

3. Cancellation and Refund Policy

3.1 Class Cancellations by the Client

Clients may cancel a booking up to 12 hours before class time. There is no penalty. Cancellations made within 12 hours are charged in full. Cancel via our online booking system.

3.2 Membership Cancellations

Members may cancel their membership. Provide a minimum of 3 days written notice before their next billing date. If notice is received less than 3 days prior, one final payment may be charged. The membership remains active until that billing cycle ends. Cancel in the momence app or submit membership cancellations via email to info@reformerldn.co.uk.

3.3 Class Cancellations by Reformer LDN

We reserve the right to cancel or reschedule classes due to unforeseen circumstances. In such cases, clients are notified as soon as possible. Payments made for cancelled classes are credited towards future bookings. Or refunded upon request.

3.4 Refunds

Refunds are not generally offered. This excludes exceptional circumstances. We determine these at our discretion. Refunds are not provided for unused classes or membership periods.

4. Pausing a Membership

We understand life happens. Sometimes you need a short break. Pause your membership for up to 1 month in a 12 month period.

How to Pause Your Membership

To pause, contact us via email at info@reformerldn.co.uk. Requests must be made at least 3 days before your next billing date. This ensures your membership pauses before the next payment.

Pause Guidelines

  • Minimum Duration 3 days

  • Maximum Duration 1 month per pause

  • Frequency You may pause your membership once per calendar month.

  • Annual Pause Limit Memberships can be paused for up to 1 month total during a 12 month period.

Special Circumstances

Extended pauses beyond standard limits may be approved. This is for medical reasons. Examples include injury, illness, or pregnancy. Documentation may be required.

5. Health and Safety

5.1 Health Screening

All clients must complete a health and fitness screening questionnaire. Do this before attending your first class. Clients are responsible for informing us of any health conditions, injuries, or concerns. These may affect participation.

5.2 Participation

By participating, you confirm you are in good health. You are physically capable of performing exercises. You agree to follow instructor guidance. Use equipment responsibly.

5.3 Liability

Reformer LDN Limited is not liable for injuries, illnesses, or adverse effects from participation. This excludes cases where liability is imposed by law.

5.4 Age Restrictions

Clients must be 16 years or older to participate in our classes. Younger clients are not permitted.

6. Studio Etiquette

6.1 Punctuality

Arrive at least 5 minutes before class. Late arrivals longer than 5 minutes may not join the class and will not receive a refund. This avoids disruption.

6.2 Hygiene

Clients must maintain good personal hygiene. Clean equipment after use. Use sanitising wipes provided.

6.3 Behaviour

All clients must treat staff, and other clients with respect. Disruptive, harassing, or discriminatory behaviour is not tolerated. It may result in removal from the premises.

6.4 Lost Property

Personal belongings are brought onto the premises at your own risk. Reformer LDN is not liable for any loss or damage to your items. We will hold lost property for a limited time. Please contact us if you believe you left something behind.

7. Data Protection and Privacy

7.1 Data Collection

We collect and process personal data. This follows our Privacy Policy and GDPR.

7.2 Data Use

Personal data is used only for service delivery. And for marketing purposes if you opted in.

7.3 Data Security

We take appropriate measures to secure your personal data. We do not share it with third parties without your consent. This excludes cases required by law.

8. Intellectual Property Rights

All content, methods, and class instruction provided by Reformer LDN are our intellectual property. You may not record, reproduce, or share any part of our classes or content without our prior written consent.

9. Website and Online Account Use

Your online account is for your personal use. Keep your login details confidential. You are responsible for all activity on your account. We may update our website and booking system at any time.

10. Price Changes

We reserve the right to change prices for classes, packages, and memberships. We will provide reasonable notice of any price changes. This notice may be given via email or website updates.

11. Force Majeure

We are not liable for any failure or delay in performing our obligations. This applies if such failure or delay is due to circumstances beyond our reasonable control. These circumstances include, but are not limited to, acts of God, war, terrorism, national emergency, riots, fire, explosion, flood, epidemic, pandemic, industrial disputes, or government directives. If a force majeure event occurs, our obligations may be suspended. We will use reasonable efforts to resume performance as soon as possible.

12. Changes to Terms and Conditions

Reformer LDN Limited reserves the right to amend these Terms and Conditions at any time. Updates are effective immediately. They are posted on our website.

13. Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
